Booking management

Every booking in one place, however it arrived.

Taken by phone, made on your website or written down at the counter — one diary, live availability, and a record of every change.

One diary, whatever the door

Phone, website and walk-in all land in the same list, and that list is the truth.

Availability locks the instant it is checked

Two callers can never claim the same table, slot or window. The hold happens at the moment of the check, not when the booking is finally saved.

A live screen for today

Bookings in time order and today’s load at a glance, so whoever is on the floor never has to work it out from a printout.

Future dates, not just this one

Check how booked next Saturday already is, days or weeks ahead, straight from the calendar.

Manual bookings, with a warning

Add one yourself in seconds — and be told if it falls outside your hours, rather than finding out on the night.

Overnight service and a last seating

Service past midnight is supported, and a rule stops bookings landing too close to closing. Exception days included.

Your tables used properly

A party of ten against an eight, a four and a two takes exactly ten seats — the four-top stays free for the next booking.

The parts that stop it going wrong

Most of what a booking system is worth happens after somebody has said yes.

Approvals that time out

A booking waiting on you does not hold a table forever. If nobody acts, it is released rather than kept empty for nobody.

Small groups confirm themselves

You set the group size that needs a human. Under it, the booking is confirmed on the spot; over it, it comes to you first.

Closed days block the diary

Holidays and one-off closures are respected — and anything already booked into a day you close is flagged, with the guest told.

Notes after the fact

“Window seat, please” still gets through once the booking already exists.

Orders wait for your approval

Never auto-confirmed. Items and prices can still be adjusted first, and the price is calculated server-side — a menu change tomorrow never rewrites an order from today.

Refunds sit behind a guard

One tap, but never an accidental one. Payment is tracked apart from the order, so an unpaid one cannot slide into preparation.

Everything the guest hears from you

Confirmation, reminder, change, follow-up — each one in the language the guest actually used.

Four kinds of WhatsApp message

Each reaches the right person in the right language, without anybody sitting down to write it.

No-show reminders on your terms

You set the timing window, quiet hours are respected, and a booking made an hour ago never gets one.

Guests change their own booking

A one-time secure link lets them move or cancel it without ringing you in the middle of service.

A word after the visit

A short follow-up once the experience is over, asking how it went.

What you can see afterwards

Reporting that tells you when it does not know — the only kind worth reading.

Guest history that cannot flatter you

Arrived, no-show and unmarked are tracked separately rather than blurred into one number. VIPs are flagged on their own.

Six groups of reports

From missed business to demand patterns, built from what actually happened rather than from a projection.

It warns you when a sample is too small

No pattern is read into a handful of calls. The report says so instead of drawing a line through three points.

A full audit trail

Who changed what, old value beside new, permanently.

Every call recorded and summarised

Duration, outcome and a transcript, flagged if the call turned into a booking.

The panel your team actually works in

The people using it all day are not the people who bought it, and it is built for them.

Four languages for staff

Turkish, Dutch, English and German — chosen per person, so your team works in their own language rather than in yours.

A queue for what needs you

Approvals and unanswered questions in one place, so nothing waiting on you is lost in the noise.

Modular

You switch on what you use, and nothing else appears.

Isolated at the database level

Not a wall drawn in the interface: one business’s data is never kept alongside another’s. Numbers are masked and card details are never stored.

Questions

Do I need the phone assistant to use this?

They are built to work together — the dashboard is where every call Bubo answers ends up. It comes with every plan: free for your first 6 months, then €49 a month.

Does it replace the reservation system I already have?

It can, or it can sit beside one. Bubo connects to Formitable, Zenchef, Lightspeed, unTill and Deliverect among others, so bookings can land where your team already looks. If you have no system yet, this is one.

Can my team use it in their own language?

Yes. The staff panel runs in Turkish, Dutch, English and German, set per person rather than per business.

What stops two people booking the same table?

Availability is locked the moment it is checked rather than when the booking is saved, so the second caller is offered a real alternative instead of the same slot.

Can I see who changed a booking?

Yes. Every change is kept with the old value beside the new one and the name of whoever made it, permanently.

What happens on a day I close?

The diary is blocked for it, and anything already booked into that day is flagged — and the guest is told rather than turning up to a locked door.
